Role:
This role combines Sales Enablement responsibilities with Document Control and Information Management duties tailored to Jacobs’ sales process in the Middle East market. You will be the operational backbone behind bids and pursuits—owning our central mailbox workflows, maintaining clean, accurate sales data (CSP), curating leads, and ensuring every submission meets client and Jacobs governance requirements across Opening, Middle and End Game. The role requires agility, strong attention to detail, and the ability to track and manage historical interactions with clients, ensuring no emails or tasks are missed and all follow ups are completed promptly.
Responsibilities
Central mailbox ownership
• Act as first-line triage for the Central Jacobs ME Sales mailbox: route/assign enquiries, track response SLAs, and send client communications from the shared address.
• Follow through tasks from email chains, ensuring timely completion and accurate updates.
• Maintain history of client interactions and ensure continuity across threads.
2. CSP data entry & troubleshooting
• Own accurate, timely CSP data entry; validate fields, fix data quality issues, and escalate platform defects with clear repro steps.
• Build simple job aids for recurring CSP issues; publish in SharePoint and socialize via Sales Ops channels.
3. Lead curation & pipeline hygiene
• Monitor inbound leads via mailbox and CSP; de-duplicate, enrich, classify by country/market, and recommend disposition (qualify, nurture, decline).
• Surface high-potential opportunities and coordinate Opening → Middle → End Game hand-offs with SPLs, Proposal Managers, and Commercial.
4. Sales-specific Document Control / Information Management
• Apply standardized IM/DC procedures in all tasks
• Setup opportunities on the Jacobs CRM platform and setup associated SharePoint sites, manage incoming and outgoing documents.
Perform final-gate quality checks before external issue (formatting, completeness, approvals, signatures); log and archive issued documents to meet governance.
• Take ownership of all communication on the inbox and assign to the relevant stakeholders.
5. Supplier registrations & prequalification
• Coordinate company registrations, PQs, and credential updates on client portals; track tasks, upload certificates, and maintain a reference set of standard company files.
• Maintain a calendar of renewal deadlines and collaborate with Commercial/Finance.
6. Sales process & governance support
• Support Middle Game and End Game logistics, content development, and reviews; coordinate Green Team/commercial checkpoints and ensure bid artifacts meet directives/evaluation criteria.
• Use the ME Sales Handbook templates and governance updates as the “single source of truth.”
7. Portal submissions and related tasks
• Log in to client portals for sales submissions, registrations, and updates.
• Ensure compliance with portal requirements and maintain accurate submission records.
8. Reporting, metrics & continuous improvement
• Maintain mailbox analytics (volume, response time, dispositions), CSP data integrity metrics, and lead conversion KPIs; publish weekly dashboards.
• Capture lessons learned and contribute updates/templates to the ME Sales Handbook; close internal audit actions promptly.
4–7 years in Sales Operations / Document Control supporting bids or proposals in the Middle East infrastructure sector.
• Demonstrated proficiency with shared mailboxes, SharePoint, O365, and structured data entry/QA (CSP).
• Ability to manage email chains, track tasks, and maintain historical client records.
• Working knowledge of Jacobs Relationship-Based Sales (RBS) stages and sales governance (OG/MG/EG).
• Familiarity with registration/prequalification processes and documentation standards across regional client portals.
• Strong coordination, writing, and quality assurance skills; ability to operate within a RACI framework.
Performance Metrics (KPIs)
• Mailbox SLA adherence (% on-time first response)
• CSP data accuracy (error rate; time-to-fix)
• Lead curation outcomes (qualified %, conversion to pursuits)
• Submission quality (zero re-issues; audit findings closed)
• Dashboard freshness (Planning content weekly updated)
• Task completion rate from email chains and portal submissions
