The Executive Assistant role will provide administrative and managerial support to a senior executive or team of executives in the India region. This is a critical role in ensuring the smooth operation of an organization by handling a wide range of tasks and responsibilities.
The Team:
This is an individual contributor role reporting to a senior executive and working closely with the leadership team in the India region. As part of the role, there will also be regular engagement & interactions with the admin, facilities, human resources and other related functions.
Responsibilities and Impact:
Office Management:
Completes a broad variety of administrative tasks for the leadership team: managing an extremely active calendar of appointments, arrange meetings, both internal and external, some involving high-ranking officials. Plan logistics for all meetings and take MOMs and publish them.
Manage the immediate day to day and monthly operations with respect to communications, workflow, arranging travel, booking tickets, handling of expenses and budget of the leadership team member.
Provide administrative support as and when needed to ensure smooth and successful delivery of results.
Anticipate the needs of Senior Leadership Team and provide the appropriate support and guidance to ensure the team is operating efficiently and effectively, i.e. Leadership Team meetings, setting up meetings, etc.
Coordinate speaking commitments, conferences and other official duties as required.
Support in the preparation of presentations, excel documents, creating briefing materials for meetings and events.
Assist in workspace requirements, coordinate with admin, security teams, food vendors, transport teams and infrastructure teams on office space requirements on a day to day basis.
Managing the requirements of senior visitors from other locations - including itinerary planning, transport, visit agenda, accommodation, food, etc.
Providing administrative support, such as ordering supplies, managing files
Researching and gathering information for the senior leadership.Managing projects and tasks, including setting priorities and tracking progress
Coordinate leadership meetings including townhalls and assist with scheduling and logistics
Assist in taking minutes in leadership meetings
Coordinate ExCo requirements with other ExCo assistants
Keep upto date with policy and procedures which are related to the scope of work including travel expense limits, policy and operational procedures
Manage the schedule of leadership team and resolve conflicts in calendar diligently
Project Management:
Provide coordination and support in the planning of strategic initiatives and special projects as required.
Lead or participate in cross-functional project teams or special initiatives to achieve specific outcomes aligned to the organization's goals and mission.
Work with any function in case at times of need for instance: critical projects or jobs to be completed on tight timelines.
What We’re Looking For:
Basic Required Qualifications:
Bachelor's degree in a related field or equivalent work experience
Minimum 10 years of experience as an Executive Assistant or in a similar administrative role
Excellent written and verbal communication skills along with interpersonal skills
Strong organizational and time management skills
Proficiency in Microsoft Office Suite and other relevant software
Ability to work independently and as part of a team
Ability to handle multiple projects simultaneously and prioritize effectively
Strong attention to detail and accuracy
Ability to maintain confidentiality
Adaptability and flexibility

Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail
Very strong interpersonal skills and the ability to build relationships with stakeholders, including staff, board members, external partners, etc.
Expert level written and verbal communication skills
Demonstrated proactive approaches to problem-solving with strong decision-making capability
Highly resourceful team-player, with the ability to also be extremely effective independently
Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer/client service and response
Demonstrated ability to achieve high performance goals and meet deadlines in a fast paced environment
