We are seeking a highly organized and proactive Personal Assistant who will do administrative and executive tasks. The ideal candidate will be a detail-oriented, reliable, and proactive individual, able to work independently and efficiently in a fast-paced environment. This role offers a diverse range of administrative tasks and provides an opportunity to work closely with the team to ensure smooth daily operations.


Location: Dubai, Downtown


Employment Type: Full-time, on-site




Responsibilities:


  • Administrative Support: Assist with general administrative tasks, including filing, document preparation, and maintaining organized records.
  • Data Management: Work with various data sources, update spreadsheets, and ensure accurate data entry and tracking.
  • Market Research: Conduct basic market research as needed, gathering relevant information for reports or decision-making.
  • Online Booking Management System: Daily review. Closing dates and flagging days needed to market. Updating the prices, availabilities and information.
  • Messaging: Replying to guest messaging on WhatsApp and social media. Push messages for guests.
  • Document Management: Prepare, format, and proofread documents for internal and external communications.
  • Meeting Support: Take notes during meetings, prepare meeting agendas, and follow up on action items.
  • Scheduling: Manage appointments (for example with influencers), coordinate meetings, and handle other calendar-related tasks.
  • Client Coordination: Prepare the runsheet and communicate with the venue.
  • Sales Tracking: Preparing weekly sales report and forecast for Dubai operation. Monthly follow up on sales results from overseas partners. Sending monthly invoices to overseas partners and franchisees. Preparing monthly sales reports for Dubai. Follow up on collections of invoices.
  • Private Events: Handle enquiries regarding private events. Send proforma invoices. Communicate with the venue. Send invoices and follow up on collection.
  • Book-keeping: Recording and keeping track of all payments. Preparing monthly reports for the accountant. Manage and keep track of the company’s documentation.
  • Props and Equipment: Keeping up to date lists of equipment and props. Manage recurring props and consumables purchases.
  • General Administrative Assistance: Provide support with any administrative duties, as assigned, to help streamline office functions.

Requirements
  • Proven experience as a Personal Assistant or in a similar administrative role.
  • Excellent organizational skills and attention to detail.
  • Strong communication skills, both written and verbal.
  • Ability to manage multiple tasks efficiently and meet deadlines.
  • Proficiency in MS Office (Word, Excel, PowerPoint) and Google Suite.
  • Ability to work independently and handle confidential information with discretion.
