As operations continue to scale, leadership is focused on improving internal organization, reducing administrative load, and gaining clearer visibility into day-to-day operations and financial tracking to support better decision-making.

Role Overview
The Executive Assistant will support leadership by managing administrative coordination, scheduling, communication, and light financial tracking. This role is designed to bring structure to daily workflows, reduce operational distractions, and ensure smoother execution across core business activities.
Key Responsibilities
Manage and organize email communications, prioritizing incoming messages
Coordinate calendars, meetings, and scheduling to reduce friction
Track follow-ups, action items, and ongoing tasks
Assist with vendor communication and general coordination
Maintain structured spreadsheets for expenses, budgets, and basic financial data
Update and organize financial information for leadership review
Support visibility into cash flow and operational costs without owning accounting processes
Maintain organized records and documentation
Ensure deadlines and commitments are tracked and followed through
Communicate proactively with leadership to keep daily operations running smoothly
Qualifications
Previous experience in an executive assistant, administrative, or operations support role
Hands-on experience managing spreadsheets and financial trackers
Strong organizational and time-management skills
Proficiency with Google Sheets or Excel
Clear, professional written and verbal communication
High reliability, attention to detail, and proactive working style
Comfort handling sensitive and confidential information
Ability to remain calm, structured, and adaptable in a seasonal business environment
