JOB SUMMARY
The Procurement & Logistics Coordinator is responsible for the overall management, procurement, importing, inventory, warehousing, and transport of relief supplies and equipment into the disaster area. Procurement & Logistics Coordinator is responsible for coordinating project vehicles for disaster response operations and manages logistical support staff. The Procurement & Logistics Coordinator maintains daily contact with the HQ Procurement & Logistics to ensure that the appropriate relief items and support materials are available to the response as soon as possible. Procurement & Logistics Coordinator is responsible for sourcing relief items and support materials available in-country and tracking local purchases. In addition, the Procurement & Logistics Coordinator is responsible for ensuring the correct planning, implementation and monitoring of the logistics activities and programs in the project and coordinating human and material related resources needed, in accordance with MedGlobal standards and protocols in order to contribute to the proper development of the mission and to optimize the impact of the response.
MAIN DUTIES AND RESPONSIBILITIES
In collaboration with the Programs and Finance, defining, implementing and monitoring logistics activities and logistics operational priorities, according to MedGlobal project plan, standards and protocols. Installation and maintenance of functional office space(s) and lodging facilities in the project in an adequate living condition as well as all the equipment required Implementation of support activities (communications, electricity, transport, construction, restoration, etc.) and any other logistical activities required to achieve the medical objectives Planning and supervising the day to day logistics activities ensuring an efficient implementation of logistics procedures in the project, ensuring compliance to MedGlobal standards and protocols. Responsible for the supply administration, the correct filing and archiving of supply database and the efficient processing and follow up of orders and requests Responsible for purchase management, in particular the follow up of purchases, preparation, together with the Logistics Manager, market assessments, contracts and supplier evaluations and communication with local suppliers for the status of purchase orders, claims and complaints Ensuring the clearing and the transport of medical and non-medical goods of the mission and providing info on timelines regarding administrative procedures concerning, import, customs clearance, etc. Controlling quality and costs and the physical state of orders and determines the quantities of products to buy (volume) considering the demand and needs of the mission, the availability forecasts, delivery timelines, budget and other relevant factors and monitors stock levels related to monthly consumption figure, expiry dates, excess drugs and possible shortage in the capital Managing the purchasing budget, and settling advances with the Finance Department Coordinating and leading the team under his/her responsibility including the definition of each person's tasks (daily supervision and checking the quality of their work); drawing up working schedule and organizing and leading team meetings) Maintain lines of reporting and communication as outlined in the response organizational chart Effectively communicate with other response members and supervisory personnel Maintain accurate records and keep original receipts for all financial transactions on response Maintain and care for all MedGlobal property Liaise with external organizations and/or government officials as assigned by the immediate supervisor or team lead, representing the organization with professionalism and respect Act as secretary for the coalition (ie. translate contracts/handle local communications) Coordinate with the governmental entities and the Egyptian Red Crescent in Egypt and all involved parties for the registration of MedGlobal office in Egypt Coordinate with the Egyptian Red Crescent, Health cluster , Logistics cluster and other stakeholders to ensure smooth implementation of MedGlobal and/or the coalition activities Represent MedGlobal by holding to its organizational values, beliefs, and code of conduct Performing delegated tasks according to their specialty and as specified in their job description
QUALIFICATIONS AND SKILLS
A Bachelors degree in Supply Chain or Logistics or Business Administration or a related field. At least 5 years of experience in Supply Chain related jobs and 3 years of experience in Humanitarian Logistics. Experience in sourcing, local purchasing, supply administration, market assessments and supplier evaluation. Extensive experience in planning and implementing logistics activities such as transportation, import/export, customs clearance and dealing with governmental entities, and storage. Strong background in managing and monitoring purchasing budgets. Required strong skills in accurate record-keeping, filing supply databases, and handling administrative tasks. Proven track of leadership, analytical skills, and project and operational management. Preferred to have one of the following: + Certifications in Procurement (e.g., CIPS - Chartered Institute of Procurement and Supply).
+ Logistics Management or Humanitarian Supply Chain certifications.
