About the Role

We are seeking a highly organized and proactive Executive Assistant to provide support to the Senior Vice President (SVP) in VOIS. This role is pivotal in ensuring the SVP's schedule and priorities are managed seamlessly, allowing them to focus on strategic initiatives and overall business growth. The ideal candidate is a detail-oriented individual with excellent communication skills, who thrives in a fast-paced, high-stakes environment.




Key Responsibilities
  1. Calendar and Schedule Management
    • Coordinate and manage the SVP's calendar, scheduling meetings, appointments, and events with internal and external stakeholders.
    • Proactively identify and resolve scheduling conflicts, ensuring efficient use of the SVP’s time.
  2. Communication and Correspondence
    • Serve as the primary point of contact between the SVP and other departments, clients, and partners.
    • Draft, review, and edit emails, reports, and other correspondence as needed.
    • Maintain confidentiality and professionalism in handling sensitive information.
  3. Meeting Coordination and Preparation
    • Prepare agendas, presentations, and briefing materials for meetings.
    • Record and distribute meeting minutes, ensuring follow-up on action items.
    • Arrange logistics for in-person and virtual meetings, including room setup, tech support, and refreshments.
  4. Travel Arrangements
    • Plan and organize domestic and international travel, including flights, accommodations, and itineraries.
    • Process travel expense reports and manage reimbursements in a timely manner.

Key Responsibilities
  1. Project Support
    • Assist with various projects, often handling research, data analysis, and initial preparation of materials.
    • Coordinate with other departments to gather required data and ensure project deadlines are met.
  2. Administrative Tasks
    • Handle invoice processing, track expenses, and maintain budget records for the SVP’s office.
    • Oversee filing systems, maintain office supplies, and manage other administrative needs.
  3. Special Projects and Ad-hoc Tasks
    • Participate in cross-functional projects, and occasionally lead smaller initiatives on behalf of the SVP.
    • Execute other ad-hoc tasks as needed to support the SVP’s day-to-day operations.
