Purpose:


To outline the main duties and responsibilities those are involved and experience, qualification, skillset & knowledge required to perform those duties & responsibilities.


 Experience:


· 2+ to 8 Years of Experience in Document Control in Engineering and Consultancy or Site.


· Worked on small and Large size Engineering and Procurement Project as team member.


·  Experience of using EDMS software e.g. (Aconex, JPI, encompass etc)


Duties & Responsibilities:


  • Assist DC Lead to Setup Project in designated EDMS.
  • Understand and execute Project specific Procedures, Workflow and Work Instructions.
  • Participate in meetings and provide required information and ask queries .
  • Coordinate DC activities while ensuring cost effectiveness.
  • Highlighted Document Management issues/concerns to DC lead or Project team.
  • Assist DC team lead to execute DC activities on projects.
  • Support multi-tasking and work on multiple project as required.
  • Assist in review and update Worley work processes, technical guidelines and work instructions.
  • Maintain Project and Company confidentiality.
  • Receive, Check, process and distribute document as per project requirements.
  • Process vendor documentation and Expedite for Vendor submission.
  • Expediting Engineering team for vendor documentation.
  • Process pre-PO Procurement documentation.
  • Setup Distribution matrix in EDMS and create distribution groups.
  • Follow checklist for DC activities to ensure quality delivery.
  • Run EDMS reports to ensure properties are filled correctly.
  • Assist DC lead to audit of DC activities and register lesson learnt.
  • Prepare project specific report and distribute to project team.
  • Communicate with internal and external stakeholder depending as per requirement.
  • Responsible to for emphasizing on Safety, Quality delivery.
  • Attend training, follow policies and procedures for team members.
  • Responsible for timely execution of task or allocated added responsibility.
  • Responsible to find innovative ways to reduce work and enhance quality on project.
  • Responsible for ensuring information security is followed.
  • Any Project or Functional responsibility assigned time to time.
  • EDMS set-up experience is preferred - Aconex

Qualification:


·       Bachelor’s degree in any stream or Diploma from Engineering disciplines, Computers/IT.


Skills Required :


·       Working knowledge of MS office Tools (Word, Excel, Power Point, Outlook)


·       Working experience on EDMS software (Any)


·       Excellent Written and verbal communication skills.


·       Team player


·       Excellent Interpersonal Skills


·       Solution Oriented approach (to solve problems)


·       Impart DC specific trainigs.


·       Provide support to All roles /responsibiIities of Department & project team.


·       Proven ability to handle documentation of small or large project.


Knowledge:

·       Knowledge of All phases of Projects (FEED, DE, Commissioning, Close out, etc)


·       Advanced understanding of documentation processes including design drawing, , Vendor documentation, procurement Documentation, As building, site Documentation Activities.


·       Advance ability to read and understand drawing & Documents.


·       Advance knowledge of procedure and Inter discipline knowledge.


·       Works independently or as team member on small or large size project.


·       Basic Knowledge of Engineering Application (AutoCAD, MicroStation etc.)
