The ideal candidate will act as a trusted partner to executives, ensuring seamless day-to-day operations, effective communication, and optimal time management.
This role requires exceptional organizational skills, discretion, and the ability to operate with minimal supervision in a fast-paced, high-impact environment.
Key Responsibilities Executive Support & Calendar Management Provide end-to-end administrative support to senior executives, including complex calendar management, meeting scheduling, and prioritization of appointments.
Anticipate executive needs and proactively resolve scheduling conflicts and time-sensitive matters.
Prepare daily agendas, briefing notes, and follow-up action items to ensure maximum executive effectiveness.
Communication & Stakeholder Management Act as a primary point of contact between executives and internal/external stakeholders.
Screen, prioritize, and manage emails, calls, and correspondence with professionalism and confidentiality.
Draft, review, and edit emails, presentations, reports, and other executive-level documents.
Meeting & Travel Coordination Organize and coordinate internal and external meetings, board meetings, and leadership offsites.
Prepare meeting materials, take accurate minutes, track action items, and ensure timely follow-ups.
Manage domestic and international travel arrangements, including itineraries, accommodations, visas, and expense coordination.
Operational & Administrative Excellence Support day-to-day office operations related to executive functions.
Maintain accurate records, confidential files, and documentation with high attention to detail.
Assist with expense management, reimbursements, and basic financial tracking.
Strategic & Project Support Support executives on special projects, cross-functional initiatives, and strategic priorities.
Track deliverables, deadlines, and dependencies across teams.
Conduct research, compile data, and create concise summaries to support decision-making.
Required Skills & Qualifications 6–8 years of proven experience as an Executive Assistant or in a similar senior administrative role supporting CXOs or senior leadership.
Exceptional organizational, time management, and multitasking abilities.
Strong written and verbal communication skills with a high level of professionalism.
High level of discretion, integrity, and ability to handle confidential information.
Proficiency in MS Office / Google Workspace (Word, Excel, PowerPoint, Outlook, Docs, Sheets, Slides).
Strong problem-solving skills with a proactive, solution-oriented mindset.
Ability to work independently, manage ambiguity, and adapt to changing priorities.
