Job Description


Position Summary:


This position is responsible for managing the entire payroll program, including the development of annual and monthly operational and strategic plans to ensure timely and accurate salary processing and compliance with payroll regulations. The ideal candidate should possess the ability to interact effectively with multiple stakeholders and have experience working in large employee base environments. The role requires a strong capability in handling large volumes of confidential data and navigating complex verification processes. Attention to detail, a commitment to thorough documentation, and the ongoing pursuit of improvement opportunities are essential qualities for this position.


Key Responsibilities


Payroll Operations:


  • Manage and execute payroll processing for all employees, ensuring accuracy and timeliness.
  • Verify payroll calculations, including wages, overtime, bonuses, and deductions.
  • Administer payroll-related changes such as new hires, terminations, promotions, and leaves.
  • Act as a subject matter expert in Payroll Processing.
  • Ensure compliance with Shops & Establishments’ requirements are fulfilled
  • Represent the entity in Statutory, IFC, Tax & Internal audits.

Compliance and Reporting:


  • Ensure timely processing of payroll-related compliance, including tax filings, provident fund, PT, gratuity, LWF, TDS Quarterly & Annual filling and other payroll laws.
  • Prepare and submit statutory filings and reports within stipulated deadlines.
  • Stay updated on changes in payroll regulations and implement necessary updates.

System and Process Management:


  • Manage payroll software and integrate it with HR systems.
  • Identify and implement process improvements for payroll accuracy and efficiency.
  • Maintain payroll documentation, including standard operating procedures (SOPs).

Audits and Controls


  • Conduct periodic payroll audits to ensure accuracy and compliance.
  • Reconcile payroll accounts with financial ledgers and resolve discrepancies.
  • Collaborate with auditors during internal and external audits.
  • Maintain strict confidentiality and data security for payroll records.

Employee Support:


  • Handle employee payroll-related inquiries and resolve issues promptly.
  • Provide support during exit processes, including full and final settlements.

Service Level Agreements (SLAs):


  • Maintain SLAs related to payroll processing and employee support services

Key Skills and Competencies


  • Strong understanding of payroll systems and regulations.
  • Thorough knowledge of tax laws, labor laws, and compliance requirements.
  • Proficiency in payroll software and tools (e.g., SAP, ADP, Workday).
  • Advanced Excel skills and ability to analyze data effectively.
  • Excellent organizational skills, accuracy and attention to detail
  • Strong communication, analytical and problem-solving skills.
  • Ability to handle confidential information with integrity.
  • Time management & ability to meet deadlines
  • Adaptability to evolving business and compliance requirements
  • Familiarity with HRIS and Financial system integration.
  • Able to influence and collaborate effectively without authority and fostering teamwork and driving problem solving behaviour.

Qualifications/Experience


  • Bachelor’s degree in finance, Accounting, HR, or a related field.
  • 5 to 10 years of experience in India payroll management/Accounting.
  • Professional certifications (e.g., Certified Payroll Professional) are a plus.
  • Proven experience in payroll processing, preferably in a multi-location and mid-to-large size organisation.
