Responsibilities

Our newest opportunity is for a talented Senior Document Controller to join our award-winning team based within our Amman, Jordan.


Distance work can be considered if the candidate is based in their home nation (Outside of the GCC).


This critical role will be responsible for providing high-level administrative support to the Manager and the project. 


We envisage success in this role to include;


  • Establishing and maintaining record keeping and filing systems for the project.
  • Controlling project documentation as per company’s procedures.
  • Advanced working expertise in ACONEX, including workflows, reviews, transmittals, metadata control, and reporting.
  • Supporting the project administration including collection of meeting notes into minutes, inputs to project trackers, conducting research, updating databases, and preparing presentations.
  • Typing, formatting, and producing documents such as proposals, presentations, correspondence, and standard project reports.
  • Filing and retrieving project documents, records and reports. Ensures confidentiality and security of all-project-related documentation.
  • Maintaining calendars and contact database, schedules appointments, completes travel or conference arrangements and may arrange meetings and conferences for the project.
  • Receiving, downloading, filing, notification and recording of incoming transmittals, information and correspondence for the project.
  • Filing, uploading, notification and recording of outcoming transmittals, information and correspondence for the project, including to Client and Authority portals.
  • Undertaking document functions internally in accordance with KEO procedures, such as contract signature procedures, purchase order procedures, invoice reporting procedures, and such.
  • Liaising with the wider business and client administrators to answers inquiries, researching and resolving problems requiring knowledge of department policies and procedures.
  • Managing activities within own field of responsibility.
  • Understanding of the Invoicing and Cash Collection processes.
  • Demonstrated experience dealing with Client and Authority submission portals and compliance requirements.

Qualifications

To be successful in this dynamic opportunity, we envisage that you will bring a minimum of 5 + years' career experience coupled with proficiency in MS applications (Word, Excel, PowerPoint) Aconex knowledge is mandatory, partnered with a Bachelor’s Degree or Diploma in Administration or equivalent.


Experience working within the Gulf Region is essential whilst a background in the engineering, architectural or construction industry would be viewed favorably.
