Position Summary
We are seeking a reliable and resourceful Personal Coordinator to provide comprehensive support to the Senior Executive by managing personal, household, and logistical responsibilities. This role is vital to ensuring the seamless execution of daily tasks, household maintenance, and occasional administrative duties. The ideal candidate will act as a trusted aide, demonstrating discretion, flexibility, and excellent organizational skills, with a proactive approach to problem-solving.
Key responsibilities
Driving and Transportation:
- Drive the senior executive and family members to required destinations, ensuring safety and punctuality.
- Manage vehicle maintenance, refueling, and timely servicing.
Daily Essentials Management:
- Handle grocery shopping and procurement of other household items.
- Manage unique requests, such as obtaining licenses or arranging specific items or services.
Household Maintenance:
- Oversee the upkeep of the senior executive's residence, ensuring cleanliness and proper functionality of utilities.
- Coordinate and supervise repair and maintenance activities for appliances and facilities.
- Handle basic household repairs and troubleshooting, including minor plumbing and electrical tasks.
- Supervise external service providers (e.g., cleaners, gardeners, contractors).
Farmhouse and Animal Care:
- Ensure the care and well-being of farm animals, including horses etc., as required.
- Assist in organizing and maintaining the farmhouse premises.
- Ensure proper care, feeding, and grooming of animals, including managing their schedules and healthcare.
Task Coordination:
- Efficiently manage ad-hoc tasks, such as making bookings, arranging for deliveries, or handling specific errands.
- Leverage personal references and networks to address household or administrative requirements promptly.
Communication:
- Serve as a point of contact for household staff, vendors, and external services.
- Communicate effectively in both Urdu and English for seamless coordination.
- Handle household-related inquiries and manage expectations of various stakeholders.
Administrative Support:
- Organize and manage important household documents, including legal, and local compliance, and maintenance records.
- Assist with managing personal appointments, schedules, and personal errands for the senior executive and family.
Key Requirements:
- Previous experience in a similar role or as a personal assistant Staff officer.
- Familiarity with household management or farm operations.
- Resourceful, with a good network for managing ad-hoc requests and requirements.
- Should be able to understand Urdu and English terms, with good communication skills.
- Valid driver's license and a clean driving record.
- Ability to handle multiple tasks with efficiency and attention to detail.
- Reliable, trustworthy, and able to maintain confidentiality.
- Strong time-management skills and the ability to prioritize tasks effectively.
- Basic understanding of animal care and property management is a plus.
- Availability for flexible working hours, including weekends or holidays as needed.
Qualification
Minimum B.Sc. degree, or equivalent educational qualification.
