Requirements


The Center for International and Regional Studies (CIRS) at Georgetown University in Qatar (GU-Q) is seeking a highly organized and detail-oriented Administrative Assistant. This role is integral to the smooth functioning of the Center, providing administrative support for its events, and outreach activities.


As this position is based in Doha, Qatar and offers no relocation assistance, GU-Q is looking for locally based candidates only. This is a full-time, one-year term, renewable position.


Key Accountabilities


  • Provide comprehensive administrative support to CIRS, ensuring the smooth execution of public events departmental initiatives and other activities.
  • Coordinate outreach by managing CIRS databases and mailing lists.
  • Actively contribute to event planning and execution, including coordinating logistics, and promoting CIRS public events and initiatives.

Key activities


  • Coordinate and support CIRS public events, including organizing logistics for guest speakers, preparing materials, and providing on-site assistance.
  • Oversee contact databases, ensuring accurate and up-to-date information for communications with local and international constituents.
  • Facilitate travel arrangements and logistics for CIRS staff, including preparing itineraries and ensuring compliance with institutional policies.
  • Compile departmental reports, assuring their consistency and accuracy.
  • Create marketing materials for CIRS activities, including social media posts and web pages.
  • Promote CIRS public events by supporting the development of print and electronic materials, and managing registration for these events.
  • Prepare and coordinate the dissemination of invitations to CIRS public events.
  • Support CIRS financial processes by preparing reimbursement paperwork, providing documentation for CIRS Pro-cards, and ensuring compliance with GU-Q audit requirements.
  • Assist in onboarding new employees.
  • Coordinate Executive Director’s (and other CIRS staff as needed) meetings, maintain staff calendars, and welcome visitors.
  • Coordinate the hiring and direct the day-to-day activities of student workers.
  • Book an provide technical support for meeting spaces.
  • Maintain the department's physical appearance.
  • Other similar duties, as assigned.

Requirements


  • Bachelor’s degree or equivalent number of years’ professional experience.
  • 2+ years’ experience providing professional administrative support to a department; preferably in a multinational organization.
  • Experience in a multicultural environment is highly desirable.
  • Knowledge of administrative and clerical procedures.
  • Proactivity, attention to detail, ability to organize work.
  • Strong command of the English language, both verbally and in writing. 
  • Strong proficiency with Windows and MS Office, especially MS Excel and MS PowerPoint.
  • Strong interpersonal and communication skills.
