Job Purpose:

The Data Entry is responsible for accurately recording and updating all logistics and warehouse-related data, including invoices, loading orders, and material transactions, into both the ERP system and Excel databases. This role ensures the accuracy and integrity of supply chain documentation, supporting the smooth flow of information between operations, finance, and logistics teams. Success in this role is achieved through timely and precise.

Key Accountability:

  • Receive supplier and logistics invoices from warehouse or logistics supervisors.
  • Verify completeness and accuracy of invoice details before entry.
  • Enter invoice information into the ERP system and update related Excel tracking sheets.
  • Print and file invoices as per company documentation standards.
  • Receive daily loading orders prepared by warehouse supervisors or transportation supervisors.
  • Record all loading order details (product type, quantity, destination, date) in Excel tracking sheets.
  • Ensure accurate linkage between loading orders and shipment/invoice numbers.
  • Maintain accuracy and consistency of all entered data across ERP and Excel systems.
  • Perform routine data checks to identify and correct discrepancies or missing information.
  • Support periodic data audits or reconciliations requested by management.
  • Maintain organized electronic and hard copy files for invoices, delivery orders, and other logistics documents.
  • Ensure easy retrieval of records during internal or external audits.
  • Collaborate closely with warehouse supervisors, logistics staff, and finance to ensure timely data flow.
  • Report any data issues, delays, or documentation errors to the Logistics Operations Lead.
  • Manage company and supplier data with strict confidentiality.
  • Ensure compliance with internal control policies and documentation standards.
