This role is key in facilitating procurement operations, ensuring seamless communication and administrative efficiency within the team.
As the Executive Assistant in the Procurement Department, you will manage executive schedules, coordinate procurement-related communications, and assist in project management activities.
Your attention to detail and proactive approach will support the department in achieving its operational objectives.
Key Responsibilities Provide comprehensive administrative support to the Procurement Department, including managing executive calendars, scheduling meetings, and organizing travel arrangements.
Draft, proofread, and organize procurement documentation, ensuring all materials meet quality standards.
Act as a liaison between the Procurement team and internal/external stakeholders, facilitating clear communication and information flow.
Manage meeting logistics, prepare meeting agendas, and document minutes to track discussions and commitments.
Assist in tracking procurement project timelines, deliverables, and budgets to ensure goals are met.
Maintain organized electronic and physical filing systems for procurement documents and contracts.
Handle sensitive information related to procurement activities with integrity and confidentiality.
Support the procurement team in administrative tasks, including vendor management and contract administration.
Assist in preparing presentations and reports for executive meetings and stakeholder engagements.

Bachelor's degree in Business Administration, Supply Chain Management, or a related field.
2-5 years of experience as an Executive Assistant or in a similar administrative support role, preferably within a procurement or supply chain environment.
Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and procurement software.
Excellent organizational skills and attention to detail.
Outstanding written and verbal communication abilities.
High level of professionalism and ability to handle confidential information with discretion.
Multitasking ability and adaptability in a fast-paced work environment.
Experience in vendor management and understanding of procurement processes is highly desirable.
