The Systems Administrator / Process Coordinator will act as a key link between QA, operations teams (inspectors and section heads), and the application developer.
The role focuses on day-to-day system coordination, issue tracking, process mapping, and QA documentation control for a web-based inspection and certification platform under development and live operation.
The ideal candidate will have strong process understanding, coordination skills, and structured communication, with the ability to translate operational needs into clear system requirements and follow up on resolutions.
System & Operations Coordination Act as the primary coordinator between inspectors, technical heads, and the application developer.
Collect, analyze, and consolidate system issues, improvement requests, and functional gaps from end users.
Track day-to-day system issues related to inspection reports, certificates, workflows, and data accuracy.
Follow up with the developer on bug fixes, enhancements, and deployment updates.
Support inspectors in the correct use of the application and ensure adherence to defined processes.
Understand existing inspection, certification, and reporting workflows.
Map operational processes into system tasks, workflows, and user requirements.
Participate in user acceptance testing (UAT) and verify implemented changes.
Quality Assurance & Document Control Maintain QA documentation, including procedures, work instructions, templates, and records.
Control and update inspection logs, system records, and audit-related documents.
Ensure document version control, traceability, and proper approvals.
Required Skills & Competencies Strong coordination and communication skills.
Good understanding of business processes and operational workflows.
Ability to work with both technical teams (developers) and field teams (inspectors).
Basic understanding of QA systems and document control.
Comfortable working with web-based applications and digital platforms.
Problem-solving mindset with follow-through capability.
Preferred Qualifications Diploma or bachelor’s degree in engineering, Quality, IT, or Business Administration.
Experience in inspection, certification, QA, or compliance-driven environments is an advantage.
Familiarity with ISO-based management systems (ISO 9001, ISO/IEC 17020, etc.
) is a plus.
Experience coordinating with software developers or IT vendors is preferred.
