Document Controller


Facilities & Operations Services


We are looking for a Document Controller to support our Facilities & Operations Services Department by managing and controlling all technical and operational documentation in line with company governance standards and document lifecycle requirements.


This role plays a critical part in ensuring the accuracy, integrity, availability, and traceability of engineering and operational documents across facilities, equipment, rides, and attractions, supporting effective maintenance operations and regulatory compliance.


Key Responsibilities


Document Control & Governance


  • Coordinate and administer document control procedures for technical documents, drawings, manuals, and correspondence
  • Ensure compliance with document lifecycle procedures, standards, and governance requirements
  • Maintain document registers, logs, and indexes for full traceability and audit readiness
  • Prepare document control reports, dashboards, and status updates
  • Ensure departmental templates align with company standards and branding

Document Control Room & Physical Records


  • Establish and manage the Document Control Room with secure storage and controlled access
  • Track issuance, retrieval, and movement of physical documents
  • Safeguard documents from loss, damage, or unauthorized access
  • Manage disposal and shredding in line with retention schedules

Electronic Document Management


  • Administer EDMS and shared drives, ensuring proper folder structures and version control
  • Ensure only approved and latest document versions are accessible
  • Support system clean-ups, migrations, and audits

Document Distribution & Revision Control


  • Control distribution of approved documents to internal teams and external parties
  • Maintain revision history and distribution matrices
  • Track third-party manual updates and superseded documents

Compliance, Audits & Records Management


  • Maintain inspection, certification, and compliance documentation
  • Support internal and external audits
  • Assist with corrective actions and documentation gap analysis

Administrative & Systems Support


  • Coordinate documentation related to maintenance records, work orders, training, and timekeeping systems (e.g., Maximo, Kronos)

Training & Awareness


  • Train employees on document control and records management procedures
  • Act as the focal point for document control queries and best practices

Qualifications & Experience


Essential


  • Vocational Diploma / Certificate
  • Minimum 3 years’ experience in document control, records management, or administrative roles
  • Strong knowledge of document lifecycle management, version control, and retention policies
  • Proficiency in MS Office, EDMS, and shared drive environments
  • Excellent organizational skills, attention to detail, and ability to manage high document volumes

Desirable


  • Degree in Civil, Mechanical, or Electrical Engineering
  • 5+ years’ experience in documentation and control
  • Experience with CMMS/EDMS platforms
  • Familiarity with ISO, regulatory, or compliance documentation
  • Experience supporting audits and system migrations
