Events Executive is responsible for providing on-the-floor supervision during events to ensure all setups and services are delivered to the highest standards. The role involves close coordination with internal departments to ensure smooth operations and exceptional guest experience.


Key Duties and Responsibilities


  • Review daily function sheets, create and manage BEOs, operational checklists, and accurately handle last-minute changes.
  • Lead and participate in BEO meetings, ensuring all departments are aligned on event requirements, timelines, and responsibilities.
  • Ensure all banquet and event checklists are fully implemented during event operations.
  • Maintain clear and consistent communication with all internal departments to ensure smooth coordination and flawless execution.
  • Always enforce health and safety standards and promptly report any issues to the Health & Safety Department.
  • Supervise storage, handling, and inventory control of all event-related equipment.
  • Oversee the physical setup and breakdown of ballrooms and function rooms in line with approved event flows.
  • Prepare floor plans and ensure all required equipment is arranged prior to each event.
  • Brief all event staff on function details, service standards, and event flow, and supervise performance throughout the event.
  • Assign duties to banquet and event staff prior to each function.
  • Greet clients and guests on site, review event details with them, and maintain clear communication with guests regarding timing, flow, and any on-the-day adjustments.
  • Raise maintenance requests and coordinate closely with the Engineering Department as required.
  • Conduct inspections of all banquet and event areas before end of shift, ensuring cleanliness, correct setup, and equipment condition.
  • Provide on-the-job training, guidance, and support to the events team.
  • Manage bookings for casual staff and prepare requisitions for casual labour.
  • Monitor grooming and appearance standards of casual and Food & Beverage support staff, reporting updates to Management.
  • Support financial performance by applying best practices in upselling and following procedures that drive incremental revenue.
  • Carry out any reasonable operational requests to ensure efficient and successful event execution.

Skills, Experience & Educational Requirements


  • Diploma or degree in Hospitality Management, Events Management, or a related field.
  • Previous experience in events, banquets, or hotel operations preferred.
  • Strong organizational and coordination skills.
  • Excellent communication and interpersonal abilities.
  • Ability to supervise teams and manage multiple events simultaneously.
  • Attention to detail with a strong focus on service quality and guest satisfaction.
