#### Job Summary:
We are seeking a highly organized and proactive Executive Assistant to support our executive team. The ideal candidate will be adept at multitasking, possess strong communication skills, and have a keen attention to detail. This role is crucial in ensuring the smooth operation of our executive office and will involve a variety of administrative tasks.
#### Key Responsibilities:
- **Administrative Support**: Provide comprehensive administrative support to executives, including managing calendars, scheduling meetings, invoicing and filing and organizing travel arrangements.
- **Communication Management**: Act as a liaison between executives and internal/external stakeholders, handling correspondence and inquiries in a professional manner.
- **Meeting Coordination**: Prepare agendas, take minutes, and follow up on action items from meetings. Ensure all necessary materials are available for meetings.
- **Project Management**: Assist in managing special projects, tracking deadlines, and ensuring timely completion of tasks.
- **Document Preparation**: Create and edit reports, presentations, and other documents as needed. Ensure all materials are accurate and professionally formatted.
- **Office Management**: Oversee office supplies and equipment, ensuring a well-organized and efficient workspace.
- **Confidentiality**: Handle sensitive information with discretion and maintain confidentiality at all times.
- **Event Planning**: Organize company events, including team-building activities and executive retreats.
#### Qualifications:
- **Education**: Bachelor’s degree in Business Administration or related field preferred.
- **Experience**: Minimum of 3-5 years of experience as an executive assistant or in a similar role.
- **Technical Skills**: Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with project management software.
- **Communication Skills**: Excellent verbal and written communication skills; ability to interact professionally with all levels of staff and external partners.
- **Organizational Skills**: Strong organizational and time management skills with the ability to prioritize tasks effectively.
- **Problem-Solving**: Ability to think critically and solve problems independently.
- **Adaptability**: Comfortable working in a fast-paced environment and handling changing priorities.
