Conducting interviews and doing a full cycle of recruitment activities, including collecting references check, preparing Offer letters and communicating with the candidates.
Coordinate with the PRO to obtain employee visas and manage the arrival process of new employees
Facilitate the onboarding process for new hires, including preparing orientation materials, arranging training sessions, and ensuring all necessary documentation is completed.
Preparing all payroll reports and updates required
Establish and maintain effective employee relations
Coordinate with all departments with regard to People & Culture related activities
Responsible for the audit of his/her related work area
Maintain MIS for all processes related to his/her work area
Maintain and employee’s files by regularly filing employees’ documents
Develop and maintain confidential departmental employee files, documents and databases
Coordinate employee recruitment process, as appropriate, ensuring search documentation is accurate, consistent and complete
Enter and update employee information, such as personal details, employment history, and benefits
Organize daily incoming correspondence, make preliminary assessment and handle/respond as appropriate
Maintain open lines of communication between employees and People & Culture function, ensuring that concerns are addressed in a timely manner.
Maintain all employee files and handle telephone calls as per Rixos Hotels standard and take messages and prioritize where necessary
Keep calendar constantly updated to facilitate appointment and meeting schedules
Establish and maintain various filing/records/database of business contacts, trace pending items and follow up as appropriate
Arrange for various meetings, take minutes as well as any management meeting as they arise and draft minutes of meeting to be circulated
Prepare letters, memos, and other documents using word processing, spreadsheet, database, or presentation software
Handle incoming and outgoing mail, including date stamping and distributing incoming mail. Create and maintain computer- and paper-based filing and organization systems for records, reports, documents
Manage the HR department’s stationery requirement by procurement through FMC
Implement and evaluate People & Culture practices to maximize efficiency and effectiveness
Speak with others using clear and professional language, prepare and review written documents accurately and completely, and answer telephones using appropriate etiquette
Develop and maintain positive working relationships with others, support team to reach common goals, and listen and respond appropriately to the concerns of other employees
Communicate in a professional, positive and courteous manner at all times with all levels of internal and external customers
Handle confidential matters/information with the appropriate level of sensitivity
Ensure compliance with all health, hygiene, security, safety and fire rules & regulations
Take responsibility for own development
Bachelor’s Degree at least in a related discipline an asset
Previous human resources experience required or minimum 2 year in a similar role.
