To effectively and efficiently supervise the works of the Drivers, and Porters and make sure that the department is able to successively contribute towards the mission and vision of the Hospital
Responsibilities:
Operational Management
- Supervise daily transport operations, valet services, and official hospital vehicles, and admin related submissions
- Ensure the assigned duties and schedules to drivers/ valet staff are adequately covering at all times.
- Ensure timely pickup and drop-off of approved transportation requests.
- Ensure timely action and 24/7 of ambulance preparedness for urgent and emergency cases.
Staff Supervision
- Supervise drivers, valet attendants, porters, and supporting staff.
- Ensure staff adhere to hospital policies, safety procedures, and professional conduct.
- Conduct regular briefings, performance monitoring, and attendance tracking.
- Coordinate training and orientation for staff, including safety and customer service-related trainings.
Vehicle & Maintenance Management
- Oversee hospital cars, ambulances, and transport vehicles.
- Ensure vehicles cleanliness and compliant with regulatory standards.
- Coordinate preventive maintenance, repairs, and servicing with garages and vendors.
- Negotiate and liaise with garages, service providers, and suppliers when required.
- Maintain records of vehicle servicing, insurance, registrations, and fuel usage.
Patient Safety & Experience
- Ensure safe handling and transport of users.
- Once a request is approved to coordinate with users accordingly.
- Address transport related or patient complaints of the valet services or porters and escalate issues when necessary.
- Maintain high standards of patient courtesy, confidentiality, and comfort.
Compliance & Reporting
- Ensure compliance with hospital policies, infection control standards, and local regulations.
- Investigate incidents, accidents, or delays and prepare reports.
- Ensure outsourcing companies are paid on time as per their contracts
- Maintain transport logs, incident reports, and performance records.
- Support audits and inspections related to transport services.
Coordination & Communication
- Coordinate closely with Security, Facilities, and Patient Experience team members.
- Ensure effective communication during service disruptions or emergencies.
- Provide updates and reports to management as required.
Experience
- Minimum 3 to 5 years of experience in transport operations.
- Prior experience in a hospital or healthcare environment is highly preferred.
- Proven experience managing drivers, valet services, vehicle operations, and porters.
- Strong background in vehicles and maintenance related matters.
Skills & Competencies
